Sales and Adjustments Journal procedure

After the invoicing is done, you have 2 possibilities for the sales journal. You can print a journal and clear it at each invoicing to have the G/L entry summary by invoicing or you can wait at the end of the month to have only a monthly journal and one entry for G/L.

If you need to have one G/L entry by invoicing, the journal printing and clearing will have to be done at each invoicing.

A. Sales and Adjustment journal printing

Go to Module > Invoicing, A/R and Analysis > Reports > Sales journal

1) If you have multiple company, choose the company to print the journals.

2) If you have multiple users to process invoicing and journal, you can enter your username to see only the journals for the invoicing you did. By default, the journal will be for everybody.

3) By default, there is no date to enter to see all journal not cleared. But you can specify dates if you want to see a journal for a specific invoicing date. We suggest not to enter any date to be sure that all journals will be displayed and printed.

4) By default, the summary journal is selected.

The detailed journal will print for each invoice line the G/L entries in detail.

The G/L summary only option will print only the G/L entry list.

5) By default, the program will print the adjustment journal, then the Sales Journal. Take note that these are 2 separate reports with their own G/L entry list.

6) You can choose to display the report on screen or print it (it will be shown on screen first). If you choose to display the reports, there will not be any G/L summary list shown.

If you choose the display option, you can select and invoice and see the detail of the invoice by pressing the INFO button (bottom left).

 

B. Journal clearing and GL update

The journal clearing can be done at each invoicing and MUST be done at least each month. If you have Acomba, we can generate an automatic entry to your accounting software.

If you want to reprint the journal after the clearing it will be possible for 7 years by going to Module > Invoicing, A/R and Analysis > Reports > Sales journal History

Go to Module > Invoicing, A/R and Analysis > Reports > Sales journal

4) Modify the G/L period number for G/L if not correct.

5) Click on Journal clearing option. It will clear all sales and adjustment journal in the same time.

6) Click on Journal clearing button. This will ask you to confirm if you want the clearing of journals.

A G/L entry list will be printed automatically. It will also show you the entry number if you have the option to transfer it to Acomba.
